Formed in 1986 Aspect Contracts is regarded as one of the UK's leading asbestos specialists, providing comprehensive, integrated and expert solutions in asbestos surveys, removal, licensed asbestos collection, awareness training, as well as repair, reinstatement and disposal. Involved with housing associations as well as private clients Aspect has been at the forefront of the industry for many years.
Business Situation
Having an ever increasing volume of asbestos inspections and removal jobs booked by insurance companies on a daily basis, existing systems were struggling to provide the service levels and turnaround times expected by clients.
As a result information was being rekeyed, relayed in an ad-hoc manner, and stored in Microsoft Excel.
Additionally, the amount of paperwork, such as inspection certificates, digital photographs and invoicing was increasing.
A solution was required that addressed these problems, and also notified clients as soon as inspection results were available along with a secure mechanism to submit and view job information.
Due to their unique type of business Aspect needed a completely bespoke solution-something Objective had expertise in delivering.
Solution
Objective proposed an Extranet system that would allow clients to view and submit job information, and access all related paperwork including inspection certificates, photographs and plans.
Also stored were dates and times for contacting policy holders for appointments, and notes and feedback from the job.
Data collected by a Digital Pen reduced the time taken to get information into the system from the job sites. The digital pens are used in conjunction with digital photographs taken on the mobile phone. The photographs and completed inspection form were sent as a single message from the site.
And as the status for a job changes (for example an inspection certificate is received) the client is automatically notified by email, directing them to the online system to view the details.
Having an online viewing facility for insurance companies means that communication traditionally performed by fax and email can now be done online, saving time and allowing jobs to be dealt with more efficiently.
A Key Performance Indicator (KPI) system allows clients to have individual warning and response times set, with a single screen showing an overview of jobs within the system.
